About the Role

We are seeking a Chief of Staff to work closely with the CEO, providing high-level support across a range of critical functions, including internal operations, CRM management, communication, and project oversight. This role is integral to enhancing organizational efficiency, optimizing workflows, and enabling the CEO to focus on strategic initiatives. The Chief of Staff will act as a trusted advisor to the CEO and serve as a bridge between the CEO and the broader team, ensuring initiatives are effectively implemented and goals are met.

Responsibilities
  1. Internal Operations:
    • Develop and implement systems to track project progress and ensure workflow efficiency.
    • Maintain organizational processes to support effective communication and collaboration.
  2. Executive Support:
    • Assist the CEO with daily schedules, conducting research, and preparing materials for meetings and events.
    • Coordinate travel arrangements and manage calendar and email communications.
  3. HR Management:
    • Support the CEO with HR tasks, including onboarding/offboarding, managing vacation calendars, and employee communications.
  4. Financial Analysis:
    • Assist with financial analysis and reporting to provide insights that guide executive decision-making.
  5. Communication Development:
    • Develop and refine email templates and other communication tools for both internal teams and client interactions.
  6. Meeting Coordination:
    • Attend meetings alongside the CEO, take detailed notes, track action items, and ensure timely follow-up.
  7. Project Oversight:
    • Oversee ongoing projects, proactively addressing challenges, and ensuring timely completion.
  8. Contract & Invoice Management:
    • Handle contract and invoice processes, tracking outstanding items and coordinating follow-ups as needed.
Requirements
  • Exceptional Communication Skills: Clear and effective in both written and verbal communication, particularly in English.
  • Proactive Problem Solver: Skilled at identifying challenges and independently resolving them.
  • Strong Organizational Skills: Highly detail-oriented with excellent time management abilities.
  • Independent & Collaborative: Able to work autonomously and as part of a team in a fast-paced environment.
  • Analytical Mindset: Proficient in research and data analysis with a commitment to continuous improvement.
  • Emotional Intelligence: Capable of navigating interpersonal dynamics with empathy and professionalism.

Details & Benefits
  • Location: Remote
  • Schedule: Monday to Friday, regular office hours MST
  • Salary: $2,000 - 2,500 monthly, with potential adjustments based on market trends
  • Vacation: 2 weeks of PTO per year
  • Holidays: Observance of US holidays
  • Medical Reimbursement: Available after 6 months of employment
